Job Description:

This positions is responsible to undertake financial and administrative tasks at regional offices in Karachi and Peshawar and support project team/regional staff.

Main Responsibilities: Financial Management

  • maintain petty cash fund at the Regional Centre
  • Assist Finance Specialist to Posts all transactions in the accounting software as per activity code.
  • Correspond between field and regional team for other expenses claims
  • Support in dealing with all bank remittances and other payments and maintains proper record
  • Support in Coordination with internal/external auditors during internal/external audit,
  • Provide support in the preparation of draft financial reports for SPO management and donors,
  • Manages Employees Old Age Benefits scheme at Regional center
  • Undertakes any additional responsibilities as assigned by the supervisor from time to time. See less Documentation of all activities and compiled data for monthly and quarterly reports
  • Payments to all the vendors/suppliers
  • Ensures the procurements are made as per procurement policy including services like printing services, building and equipment maintenance services, travel, food and hotel services etc.
  • Maintains proper filing system for payment vouchers and other financial correspondence

Procurement and Inventory Control 

  • Maintain appropriate stock of expendable supplies and proper inventory of the electronic equipment, furniture and vehicles.
  • Prepare and update inventory status report and submit to NC Administration Unit on quarterly basis after performing physical verification on regular basis. 

Travel and Vehicle Management 

  • Oversees the SPO vehicles management, prepares duty roster, including daily duties of vehicles/drivers and proper maintenance and smooth functioning of vehicles
  • Ensures that quarterly vehicle maintenance reports are submitted to the NC Administration Unit or whenever required. 

Personnel Administration

  • Responsible to maintain and update the personnel files at regional level
  • Responsible for submission of monthly timesheet summary and monthly leave status of all staff to HR Unit
  • Oversee the submission and settlement of health insurance claims of staff to the HR unit 
  • Assist for the cost effective fund management and functioning of SPO finance section, including accounts, payments, tax deduction, salaries, budget reviews and feedback
  • Processes expense & travel claims of the Regional staff
  • Processes payment vouchers, monthly staff salaries and financial statements
